Privacy policy

Transform Social Club ("TSC") is operated by Xiren Pty Ltd (ABN 66 660 625 543) ("Xiren", "we", "us"). TSC runs DJ nights, workshops, a Booster points program and a creative community in Bendigo, Victoria. This policy explains what personal information we collect, why, who sees it, and the choices you have. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth), and send marketing in line with the Spam Act 2003 (Cth). It sits alongside our Member Terms.

1. What we collect

When you join a crew: your name, mobile number, date of birth, the DJ whose crew you're joining, whether you're a creative, an optional favourite track, whether you want to be added to your DJ's WhatsApp group, and who invited you (if you used a mate's link).
When you complete your profile: your date of birth (if we didn't have it), and optionally your Instagram handle and email address.
Your consents: which consents you gave or declined (terms, photo and video, marketing, partner sharing), the version you agreed to, and when.
Program activity: door check-ins (date and time), points earned and spent, rewards claimed, which WhatsApp group you're in, and public Instagram posts or reposts that tag TSC.
Photos and video taken at TSC events in which you appear.
Expression of interest (joining, no crew yet): your name, mobile, date of birth, email, suburb or town, optionally your Instagram handle, your preferred DJ crew and what you're interested in. We use it to place you in a crew and contact you about joining.
Register-your-interest list: your name and email, and optionally your mobile, suburb, interests and how you heard about us.
Automatically: the date and time of form submissions and which link you used, so your crew is attributed correctly.

We don't collect payment details, and TSC doesn't receive a copy of your ID. Sound Music Bar scans ID at the door under its own obligations as a licensed venue.

2. Why we collect it

To run the Booster program: your door pass, points, levels, rewards and the crew leaderboard.
To confirm you're 18 or over, because TSC nights are 18+.
To keep your pass yours: your date of birth works like a PIN when you open your pass.
To count how many people each DJ brings, so set times are earned fairly.
To add you to your DJ's WhatsApp group when you've asked us to, and to send you event updates.
To match your Instagram posts to you so you get your points.
To create TSC content (with your photo and video consent).
To send you marketing (only with your marketing consent), and to pass your details to partners (only with your partner consent).
To keep records of your consents, prevent fraud and gaming of the program, and meet legal obligations.

3. Consent and marketing

Each consent is separate and recorded with the date and version. Agreeing to the Member Terms and this policy is needed to be a Booster. Photo and video consent is needed to attend TSC nights, because we film them (see section 6). Marketing and partner sharing are optional and don't affect your points. You can withdraw marketing or partner consent at any time by emailing us, replying STOP to a text, or using the unsubscribe link in an email.

4. Who we share it with

We don't sell your personal information. We share it only:

With your DJ: your name and mobile, so they can add you to their group. DJs agree to use it only for TSC.
In WhatsApp groups: other members of your group can see your WhatsApp name and number. That's how WhatsApp works.
Publicly, on the leaderboard: your first name, last initial, crew and points. Never your number, date of birth or email.
With Sound Music Bar: attendance numbers and, at the door, your name and crew when your pass is scanned.
With partner businesses, only if you opt in: your name, mobile and email, so they can send you offers or recognise you as a TSC member. Partners must use it only for that purpose. TSC may receive a commission or rebate from partners.
With service providers that store data and run our systems: Google (Sheets and Apps Script), Cloudflare (website hosting), Meta/WhatsApp (group messaging), Apple and Google (Wallet passes, if you add one) and our email provider. Some store data outside Australia, including in the United States. We take reasonable steps to make sure they handle it securely.
Where required or authorised by law.

5. How we store and protect it

Your details are kept in access-controlled systems available only to the TSC team. Your pass is protected by your mobile and date of birth, with repeated wrong attempts locked out. No system is completely secure, but we use reasonable technical and organisational measures, and we'll tell you and the OAIC if there's a data breach that's likely to cause you serious harm, as the Notifiable Data Breaches scheme requires.

6. Photos and video

TSC nights are filmed and photographed for TSC and Xiren content. If you'd rather not be featured, tell a TSC team member on the night or email us. We'll avoid featuring you prominently and take down specific posts on request where we reasonably can. We'll ask you separately before using you as the main subject of a paid advertisement.

7. How long we keep it

We keep your details while you're a Booster and for up to 12 months after your last interaction with TSC. After that we delete or de-identify them. We keep records of your consents for as long as we hold your details plus 2 years, so we can show what you agreed to. Published content featuring you may stay online. You can ask us to delete your details sooner at any time.

8. Your rights

You can ask us at any time to see the personal information we hold about you, correct it, delete it or remove you from a crew, stop marketing, or withdraw partner sharing. Email contact@xirenentertainment.com and we'll respond within 30 days. There's no charge.

9. Under 18s

The Booster program and TSC nights are 18+. Our forms won't accept a date of birth under 18. If we learn we've collected details from someone under 18 for the program, we'll delete them. The register-your-interest list is open to anyone 16 or over who wants updates on all-ages workshops or creative opportunities.

10. Cookies and analytics

Our pages don't set tracking cookies. Your pass page remembers your number and date of birth on your own device so it opens quickly. Tap "Not you?" to clear it. Our hosting provider may collect basic, anonymous traffic data to keep the site running.

11. Complaints

If you think we've mishandled your personal information, email us first at contact@xirenentertainment.com and we'll try to sort it out quickly. If you're not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

12. Changes

We may update this policy. The current version is always at tsc-join.pages.dev/privacy, with its version and date at the top. If a change affects how we use details you've already given us, we'll tell you and, where needed, ask for your consent again.
